Hello All,

 

I hope everyone is doing well. I wanted to make sure everyone saw the sentence highlighted below which did not appear on prior versions of the C2G or Petition forms. This sentence was added to clarify that both the number of hours waived AND the last term listed on the semester plan are tracked for compliance.

 

 

In prior years, the number of hours waived was the only factor tracked for a C2G or Petition. For instance, a student could receive a waiver for 15 hours and submit a semester plan showing that they planned to take all 15 hours in the Spring 2020 semester (see Scenario 1 in the table below). If the student later decided to take only 12 hours in spring and push 3 hours to the summer semester, they still received the waiver for all 15 hours.

 

At some point, the policy changed so that both the number of hours waived AND the last semester listed on the semester plan were tracked. That means that students will not receive the waiver for any hours taken after the last term on their semester plan, even if they have not exceeded the total number of hours approved for the waiver. For instance, even though Scenario 2 in the table below does not exceed 15 hours, the student would not receive a waiver for the hours taken after Spring 2020.

SCENARIO 1

15 hours taken in Spring 2020

ß Will receive the waiver for all 15 hours

SCENARIO 2

12 hours taken in Spring 2020

3 hours taken in Summer 2020

ß Will not receive the waiver for the hours taken after Spring 2020

 

The only exceptions to this policy are when required courses are not offered by UTSA and when required courses conflict with one another (see policy #6 from the form below). In those cases, an updated contract will need to be submitted.

OSEC,

 

We have a new Contract to Graduate and 30/45 Hour Petition form and process.  The new C2G and 30/45 form is now live on the Registrar Forms page under the Miscellaneous submenu:  https://onestop.utsa.edu/forms/registrar/.

 

This is a fillable PDF and should be completed via email.  Please note the new process is as follows:

 

1.  Student completes the form, indicating C2G or 30/45 Petition.

2.  Student submits the form to Advisor who signs and attaches the semester-by-semester plan and returns it to the student.

3.  Student submits the form to our new website with supporting documentation as necessary:  c2g@utsa.edu (this will create a Salesforce ticket)

4.  Registrar’s Office will verify need for C2G or supporting documentation for 30/45 Petition.

5.  Student will be notified from Registrar’s Office if additional information is needed as well as approval or denial of the request. 

6.  If students have questions, OSEC should have access to review the case in Salesforce or email the c2g@utsa.edu account.

 

If the student happens to email to OSEC, you can send it to the c2g Salesforce queue.  Please let us know if you have any questions!
