Subject: Great News! A Change to the Late Registration Form!

 

Dear Deans, Associate Deans and Department Chairs,

 

I would like to announce that the Registrar’s Office has moved the Undergraduate Late Registration form to an online process flow that allows undergraduate students to request permission to register for courses after registration closes on ASAP.  We typically receive about 300 late registrations each semester and this new online format replaces the current paper process and allows for an easier, more efficient process submitted straight to your email for approval.  [I apologize for the delay but we were still working through some coding and process flow!]

 

The process detailed below is for undergraduate students only and can be accessed from our Registrar forms page located here:  https://onestop.utsa.edu/forms/registrar/.  Graduate students will continue to use the fillable PDF that is already online and the established process.

 

The Undergraduate Late Registration process will be available only from 9/2 to 9/9 (Census Date) at 5:00 pm. 

 

Process:

 

  1. Students will submit the online form  which will route directly to the instructor’s UTSA email for review and approval or disapproval (image below). 
    • Disapproved – Automatic message sent to student that request was disapproved and they should look at other classes
    • Approved – Form automatically routes to the Department Chair

 

  1. Department Chair
    • Disapproved – Automatic message sent to student that request was disapproved and they should look at other classes
    • Approved – Form automatically routes for adding the course and student notified.
    • Department Chairs do have the option to route to other approvers for review instead (image below). 

 

Emails will generate from NoReply@utsa.edu with the subject:  Late Registration Submitted – Approval Needed.

 

Please pass this information along to your faculty.  There is a sample screen shot below.  Thank you for your patience and understanding with continued change during this time.  However, we see this as a very positive change and another step away from paper forms!!!
