Updates from the Registrar’s Office:
Meningitis Holds
The deadline to turn in documentation to Health Services for meningitis holds is today. Students who still have the meningitis hold on 8/6 will be dropped at the end of that
day. This will allow time for Health Services to update holds for those that turned them in before the deadline before anyone gets dropped.
Transcript Processing
We are currently processing the backlog of transcripts. You do not need to submit tickets to request a transcript be evaluated at this time unless stated below.
- Pending Transcripts Not Marked ‘To Be Evaluated’
- Transcripts processed via the new Raptor system get loaded to Xtender and are not marked To Be Evaluated. We have a
way of identifying these students. You do not need to submit a ticket saying a transcript needs to be processed and is not marked ‘To Be Evaluated’.
- The only time you need to submit a ticket for a transcript not marked as To Be Evaluated is if a transcript has a received
date prior to April 2025. Please submit a ticket, and in the subject line put “Transcript Received [date] Needs Evaluation” and select Medium Priority.
We will process any transcripts for students who are graduating this summer or have an application to graduate in the fall by the end of next week.
This should give enough time for Advising to do final audits for summer and initial audits for fall. If you see a transcript still needs to be processed for a student graduating in the summer
after 8/8/2025, please submit a ticket, and in the subject line put “Graduating Student Summer” and select High Priority. After 8/8/2025, we will check on new transcripts for graduating students weekly.
- Students Attending Orientation
- We will process transcripts for students attending NSO the week prior to their registered orientation session. By the
end of today, we should have transcripts evaluated for students attending NSO on 8/4 and 8/5. Next week we will evaluate transcripts for 8/11 and 8/12. If a transcript has not been evaluated for an 8/11 and/or 8/12 NSO student by 8/6/2025, please
submit a ticket, and in the subject line put “NSO [and their NSO date] Needs Evaluation” and select High Priority.
- We are currently in the process of evaluating transcripts for students who attended NSO already.
- If we notice that the student is registered for fall in a duplicate course, we will notify the student via email and
CC their advisor to alert the student that they can drop the course and register for something else.
- These transcripts are being processed in date order from when we received them.
- Please do not submit tickets for this group at this time.
- Continuing Students
- At this time, please do not submit tickets for these students unless there is an escalation issue. All transcripts received
prior to July 16 should be in Xtender and pre-req overrides can be given where appropriate by their advisor.
- If there is an escalation issue, you can send me an email (Amanda.Garcia@utsa.edu)
or message via Teams or you can submit a ticket and in the subject line put “Escalation Continuing Student” in the subject line with a medium priority.
