Dr. Gutierrez is an unfunded subaward providing in-kind contribution for subaward. So, I will not put the cost share and will use a memo from him and include it in our budget documents. He will also need
to submit a letter of commitment (as all institutions will have to anyway).
For the RG0101R, that’s where it’s a little glitchy. We have documentation that he has completed the required certifications because he is an employee. It would seem fine to use that documentation, but that’s
where my thinking falters. He could technically provide that as his documentation to meet that requirement, which I am hoping is OK to do.
Several of us have Dr. Gutierrez as a sub. We have to send him an email asking for his sub docs. I wanted to make sure I had questions answered before sending him that email.

The part I know the answer to: #5- no we don’t need the UTSA cost share form as we are not sharing costs (UTSA) the company is and it should be in their subaward budget.
Please know that for a subaward, the responsibility of getting documents together is that of the company (even if they are also our faculty). That effort needs to be segregated as faculty are not allowed to use
university resources for their outside businesses (and that includes your time and effort).

I now have 3 Genesis DoE proposals that have Juan Gutierrez’s company as a subaward. I spoke with him briefly yesterday and wanted to see how everyone is handling his company in particular as a subaward.
My understanding is that although he worked with Anthony Francis to develop Attruvera, it is acceptable to be a subaward and industry partner on this submission. (Note: I added Kurt to this conversation because I want to keep him in the loop.)
I have questions regarding his sub documents.
- Dr. Gutierrez has confirmed that he needs to be a subaward as he won’t be submitting directly through grants.gov as a collaborator.
- As he is an employee, is it acceptable to use his RG0101R? Seems like a dumb question, but I want to make sure.
- I will have him complete the subrecipient profile questionnaire and the Pi’s do the contractor vs. sub checklist.
- I will have him complete the non FDP sub form.
- For cost share, he is contributing in-kind, licenses at $25k per user. He has to contribute 20% from what I understand regardless
of whether he is unfunded or not as he is an industry partner. I will get a memo from him regarding his cost share contribution and include that in the budget justification.
Do I need to complete our cost share form since UTSA is not contributing cost share?
- As per the RFA, we will have him complete the ScienCV Doe Biosketch, C&P, collaborator letter, and Institutional commitment letter to be included in the submissions.
I’ve put this on the listserv so everyone who is dealing with it can be aware or, if they have already worked on it and have answers, they can provide that info as well.
