Hello Justin,

Dr. Yu was asked to revise the budget of her incoming NASA award, and when she used the new budget template for FY 2025, she noticed an error and she emailed me the following:

 

“I found an error on the 2025 budget form that I want to bring your attention to - for sub-award, "Indirect Costs are only charged on the first $25,000 of each subaward regardless of duration. But for the current budget sheet, the indirect cost base is adding the amount even it already exceeds $25k - so I did my budget in Year 1 okay, but in Year 2 the indirect cost base is calculated wrong.

I share some screenshots on the errors - for Year 2-5, there seems to be typo in the input cell.”

 

Can you please advise so I may respond to her email? Thank you

Yes, these templates should be used. These have the built in formulas to update the F&A rate if needed from 52% to 52.5% when a project year crosses into FY27.

OK, so we won’t be merging cells going forward and should just use this template?  Some people have asked if they can just change the F&A on the old so I want to make sure they know not to do that.

In order to be able to post files online to our website, files must pass accessibility checks to be compliant with new ADA requirements. This required a lot of the merged cells to be unmerged.

I haven’t had a chance to look at this much this week, but Shannon was able to look through the spreadsheet and noted the items below. 

 

If the only thing changed was the F&A, can we possibly use the template from this year and change the F&A.  There were just a lot of minor glitches with the new one.

Also, in working on getting a budget gathered I also noticed that there are some formatting issues in the new templates –

  1. Project Title – is not merged into one cell so that the whole title fits properly
  2. Name – is not merged into one cell
  3. Line 76 – is not merged into one cell (“Other – Please Specify”)
  4. Lines 84 through 86 after Equipment Item 1, 2 or 3 – is not merged into one cell (in order to have the description flow properly)
  5. Lines 88 through 91 participant section – lines are not merged (in order to provide descriptions for use)
  6. Lines 93 through 97 Other Costs (F&A Excluded) – lines are not merged (in order to provide descriptions if necessary)

 

These are the ones that I have found at this point.

Hello everyone,

 

We have received the new F&A rate agreement for UTSA which can be found here. As a result of the new F&A rates and changes to the MTDC base, we have updated the internal UTSA Budget Template.

 

The new budget template must be used on all proposals being submitted on Monday, December 9th or after. You can find the new budget template under the Proposal Packaging section on the OSP website. Because of the changes in the MTDC base occurring in FY26, please use the correct budget template as defined below.

 

For proposals with a FY25 start date – use the FY25 budget template

For proposals with a FY26 start date – use the FY26 budget template
