OSP Email Communication Guidance Reminder
by Justin Marmolejo
Hello everyone!
Just wanted to send an update on the email communication guidance for the centralized OSP inbox. We have added a new email subject line.
Emails sent to OSP for ACTION should only be addressed TO: osp(a)utsa.edu<mailto:osp@utsa.edu>. Once a OSP staff member responds to you, continue your communications with them directly; do not reply to osp(a)utsa.edu<mailto:osp@utsa.edu>. Duplicate emails and multiple staff working on the same item creates delays.
Please use the following email subject line headings when sending emails to OSP so requests get distributed to the appropriate OSP staff. After the subject line heading, add descriptive text or a unique identifier to assist with searching and directing email from the centralized inbox to the appropriate staff member.
Examples-
Subject: Award Amendment: PI John Doe; Award SAT000xxxx
Subject: Award Modification Request: PI Jane Doe; Award SAT000xxxx
Email Subject Line Headings
Incoming Award:
Award Amendment:
Award Modification Request:
Prior Approval Request:
No-Cost Extension Request:
Cost Transfer Request:
BCO Agreement Signature Request: (to be used for all Service/Participant/Speaker/Evaluator Agreements under $15K)
[NEW] Scholarship Notice of Award/SNOA:

Project Forms *Important*
by Jennifer Silver
Good afternoon!
Re: The source for up-to-date forms for projects.
Before submitting the completed forms to OSP for signature or action, review them to ensure the proper action is being taken. These forms serve as backup support for actions taken on projects and will be provided to auditors.
If you come across old forms with active links, please let Justin or me know so we can request they be removed. If stakeholders are forwarding them, please redirect them to the correct source.

An important message from NSF:
>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>
Dear Colleagues:
The U.S. National Science Foundation issued Dear Colleague Letter (NSF 25-011)<https://u2306505.ct.sendgrid.net/ls/click?upn=u001.HVdtiAQqH-2BBO4EFdv7-2...> to notify the research community about the mandatory use of multifactor authentication (MFA) for Research.gov sign-in effective on Sunday, Oct. 27, 2024. All external users must first complete a one-time MFA enrollment process that will be available starting on Oct. 27 and then use MFA to sign into Research.gov going forward.
Training Resources
Training resources including how-to guides and frequently asked questions (FAQs) will be available on the new About Signing Into Research.gov page on Research.gov Help<https://u2306505.ct.sendgrid.net/ls/click?upn=u001.HVdtiAQqH-2BBO4EFdv7-2...> on Oct. 27. This new page will assist the research community to quickly enroll in MFA and learn how to sign into Research.gov with the selected MFA method.
User Role Review and Validation
NSF is also requesting that organizations review and validate that all user accounts associated with the organization are still active and roles are still valid in NSF systems. NSF is making this request directly to the individual(s) at each organization with the Administrator role in Research.gov and providing instructions to access and update the View My Users page in Research.gov.

Thank you for your understanding and continued interest. Please feel free to reach out if you have any questions in the meantime.
Please like this message to acknowledge you have seen it. It has also been difficult to track everyone who is interested in the class so please share this message.

Re: NEW PeopleSoft Auto Generated Report for PIs
by Francesca Bronder
Thank you Justin. I followed your suggestion for a separate folder, but as an FYI - I received 363 notifications. I suspect, as I am back-up in some awards, that is the reason why? LOL

Subject: [Rowdy.research] NEW PeopleSoft Auto Generated Report for PIs
Hello,
RAs, you are probably waking up to a number of emails in your inbox similar to the one attached. This is a new auto generated monthly report from PeopleSoft for PIs to help track the financial status of their projects.
I would advise that you create a rule in Outlook to send move these emails to a separate folder to not clog your inbox. (I received 1,094 report emails myself overnight).
Thanks,
Justin
