Advising is working with the University and the Higher Education Emergency Relief Fund
(HEERF) laptop distribution. The HEERF program sent out emails this week to pick up a
laptop to some advising staff. If you did get an email, please do not set up any
appointments for pick up as we are trying to work with the HEERF program to pick up all
Advising laptops together.
In case you have picked up a laptop already, please let us know (Zinthia Garza & Rey
Ramirez) and please take laptop to Rey in our Tech department.

Hello!
You are receiving this message because your unit has notified us that you will be the
recipient of a HEERF-funded laptop. These laptops are being distributed to select faculty
and staff who are either working in a remote/hybrid work modality, or to faculty who are
instructing online or in hybrid classes.
ACTION REQUIRED: MAKE AN APPOINTMENT TO PICK UP YOUR LAPTOP
Once you have moved all your digital items to OneDrive for Business, you can schedule an
appointment to pick up your laptop from various locations on main campus or downtown. You
will be asked to log in to the new system while on our network. Before receiving a new
laptop, you will want to make absolutely certain that all your files, including Desktop
and C: Drive documents, have been safely migrated so that they are accessible on your new
laptop.
If you are unable to come to the campus before January, we ask that you send an email to
HEERFLaptops@utsa.edu<mailto:HEERFLaptops@utsa.edu> so we can make arrangements with
your department for shipping. (You can hit Reply to this message to have that message
sent.)
Please note that all systems will be distributed with standard software. If you are using
specialty software, please work with your ITA/ISA or the Tech Café to get the software
safely loaded on your new laptop. ITA/ISAs are aware of this responsibility.

NEXT STEPS:
1. Identify Existing Systems: As part of this process, we are asking units/departments
to begin to identify systems that will need to be reimaged or systems that will be sent to
surplus. The actual process for collecting these will not occur until January 2022, during
phase two of our disbursement process.
