REMINDER: Announcing PeopleSoft Time and Labor and Manager Self-Service to Employees and
Managers in the June 15 Deployment
UTSA is changing how timesheets are entered by employees and approved by managers in
PeopleSoft.
UTSA recently conducted a pilot group of employees to use the new Time and Labor Employee
(ESS) and Manager Self-Service (MSS) platforms. We are extending the platform to a new
round of employees and managers, and your department was selected to be part of that
group.
You will no longer use the Interim Workflow Solution (IWS) or a paper timesheet to report
absences or time worked. You currently submit a timesheet that is approved by your manager
and then entered into PeopleSoft by your departmental timekeeper every week or every
month, depending on your classification. This process changes on mid-June for classified
and A&P employees.
Timesheet Data Entry Changes
Please check with your supervisor if you are unsure of your classification.
* A&P Employees will continue to report time on a monthly basis.
* Beginning July 1, 2020, you will enter your June monthly timesheet into
PeopleSoft ESS.
* Time prior to June 1 will be entered by timekeepers for A&P employees.
* Salaried Classified Exempt and Non-Exempt Employees will continue to submit their
time on a weekly basis.
* Beginning June 22, you will enter your timesheets (dated June 15 and forward)
into PeopleSoft ESS.
* The last timesheet entered by a timekeeper is for the week ending on June 14,
2020. This includes all prior retroactive time and/or absence entries.
* Managers will approve employee timesheets in PeopleSoft MSS for their employees in
this group.
* Note: Hourly and Student Employees are excluded from this group, and their timesheet
entry process with the timekeeper remains the same.
* PeopleSoft sends various approval and request notifications to managers and
employees.
Your timesheet will route to your manager for approval within the PeopleSoft system; your
department timekeeper will no longer be involved in your timesheet entry process. This
change will increase efficiencies for reporting time and absences by using existing
systems and decreasing the number of individuals and effort it takes for data entry
today.

are available for each category of employee so you will be familiar with the process prior
to go-live. You will not be able to access the Employee and Manager Self-Service timesheet
process until June 15. Be prepared for the new process by reviewing the materials that
pertain to you. Remote workshops will be available after we go live. Stay tuned for more
