I am very pleased to announce that Albert Lopez has accepted the position for the LHS Academic Advisor IV. Since the creation of LHS, Albert has been instrumental in assisting our center is many areas. He has served as a liaison for multiple academic departments in the health sciences, and has filled many gaps when a liaison spot has become vacant. He also assists with the graduation audit process in our center along with training new advisors. He heads the Digital Initiative team and also acts as an advisor to the Pre-Physical Therapy Society.
Please help me congratulate Albert in his new professional endeavor! Way to go, Albert! We are very proud of you!

New Academic Advisor IV

Degree Works

Hello all,
There are two known issues with exceptions no longer being enforced in Degree Works. We have figured out one and are looking in to the other.
As you read this, we are working on rectifying Degree Works records for those affected. We apologize for the inconvenience this is causing you and the students.
What to do in the meantime:
If you come across a student who had an exception in place but it is no longer being enforced, you have a couple of options:
1) If the course is a transfer course you can add the appropriate core or AIS code in SHATRNS. This should correct DW. Additionally, the email I sent the other day about adding AISW or 030W in SGASADD is still in effect as well. Feel free to still follow those instructions if you would like. If you do not or if there is some non-usual situation...
2) You can send us an email and we will take care of it. If you go this route please send an email to DegreeWorks(a)utsa.edu<mailto:DegreeWorks@utsa.edu> with the following:
Subject Line: Unenforced Exception <-- Please use this in subject line so we can narrow in on these quickly
Body of Email: Student Name, Banner ID, course and the requirement the course should count towards.
Example: Rowdy Roadrunner

PSY 1013 for AIS
How do you know if an exception was in place but is no longer being enforced?
Any student that has an exception will have a box at the very bottom of the Degree Works screen. You will see the exceptions that have been placed on the student's record (that have not been deleted). There is a column to let you know if that exception is being enforced or not.

Hello Everyone,
I’m emailing to provide you with an update. This afternoon the DegreeWorks team, who does the scribing, removed the recent core scribing change in DW to see if the original core AIS exceptions that had been done would continue to stay “hooked”. Testing was completed with multiple students who had and had not run a new DW and there was no difference. The previous AIS exception entered in DW was gone. A ticket has been put into Ellucian as we are unsure if possibly the program itself has changed, thus causing the issue and also to see what other possible solutions they might recommend.
I apologize for the influx of students you are experiencing, especially graduating Seniors, who may be panicking as a result of this issue.
As mentioned in the email sent out on Tuesday, you may also email DegreeWorks(a)utsa.edu<mailto:DegreeWorks@utsa.edu> if you need them to add the attribute. We want to make sure we resolve any issues as quickly as possible.

Hope everyone is staying warm!
IDED Advising has also agreed to share their verbiage with us and would welcome other centers to use this as a proactive way to reach out to students to help alleviate potential confusion.
Barbara will be in touch, via the list-serv, with any additional information as the DW technical team researches the issue.
Big thanks to Sylvia and her team for allowing us to use their verbiage and for being so proactive with their students during this time.

Disregard the part in yesterday’s email that said to tag a course with 090 in SHATRNS to satisfy AIS in Degree Works. This will cause problems, so a new attribute has been created and it is AIS. Please use the AIS attribute. This will replace the 095 that we’d been using these last few months.
All courses that have previously been given the 095 code will be changed over to the new AIS attribute.

For those that are unsure what I’m referring to:
If a student is exempt from having to take AIS and can substitute a transfer course for it, rather than making an exception in Degree Works, you can go in to SHATRNS and give it the AIS attribute (see picture above).

Subject: [Advising] Updating SHATRNS
Hello All,
You may have already heard that starting from this point forward, there are to be no more exceptions made to the core in DegreeWorks. All appropriate transfer courses should be coded in SHATRNS. I have attached instructions for those who need it, on how to complete this process.
For the rare exceptions where a UTSA course needs to count in the core (when it usually does not), we are asking that you please send the student's name, ID and special circumstance via email to DegreeWorks(a)utsa.edu<mailto:DegreeWorks@utsa.edu>. In the attached instructions, I have also included how to update Banner for these situations in case you would like to do it yourself though.
I will be adding this to the advising internal website (www.utsa.edu/advise/internal<http://www.utsa.edu/advise/internal>) soon just in case you cannot find this email among your many, many other emails, in the future.
