Three Internal Research Awards to Consider Applying for this Spring

The Internal Research Awards (INTRA) program is part of The UTSA VPREDKE coordinated efforts to promote research and scholarship of the highest quality. This program offers experience in identifying and submitting applications to potential funding sources, provides preliminary data to support applications for extramural funding, and enhances scholarly and creative activities. The program is awarding approximately 20 grants of $5,000 each to winning applications. Deadline: March 01, 2019 The Grant for Research Advancement and Transformation (GREAT) program will provide seed grants to support new areas of research for faculty at UTSA. The primary goal of these awards will be to assemble preliminary data that can be used to seek extramural funding. It is expected that up to four grants for a maximum of $20,000 each may be awarded. Deadline: March 22, 2019 The Connecting through Research Partnerships (Connect) Program sponsored by the Office of the VPREDKE at the University of Texas at San Antonio (UTSA) and the Southwest Research Institute (SwRI), is a grant opportunity offered to enhance greater scientific collaboration between the two institutions and to increase both UTSA’s and SwRI’s research-funding base with cross-campus collaborative programs. The program encourages interaction between investigators in support of the acquisitions of established extramural, peer-reviewed research funding. This agreement provides unprecedented opportunities for researchers to work together in addressing issues of mutual interest and need. The combined contributions of the two organizations are $125,000, of which UTSA will dedicate $50,000. Deadline: March 29,2019 Michael J. Provide Us Guidance on the Training that is Needed by Your Research Assistants this Spring

Faculty have shared that too often the undergraduate and graduate student Research Assistants (RAs) who have worked for them lacked basic research skills they needed to be useful to faculty. In response to this issue--viz. to help make your RAs more valuable and helpful to you this semester--and to create better equipped student researchers (Strategic Focus 4 of the College Research Committee Report: Support students' research skills), the Office of the Dean would like to provide training to Research Assistants in January and February of 2019. We need to know what types of skillsets your RAs need to assist you with on your specific projects this Spring. Proposal Submission Policies: Submit Completed Proposals 5 Days Before Due; Salary Recovery; F&A and Center/Institute Use

Dear Colleagues, As a follow-up to what I shared in the last college-wide faculty meeting, I want to communicate that starting (effectively) in 2019, you will need to submit your completed grant proposals 5 days before the funder’s deadline. In anticipation of that, please notify the college and RSC of your intention to submit a proposal three or more weeks in advance, using this link: WuFoo Site: https://utsaresearch.wufoo.com/forms/colfa-business-coehd/ Attached is a copy of what information is requested at this WuFoo link, and a summary description of what happens following the notification 3 weeks out, submission 5 days out, and routing 2 days before the grant deadline. It is critical we follow these guidelines to ensure timely submissions. Just as some additional context to the importance of adhering to the University’s 5-2 rule, let me share that with the College now overseeing post-award administration, it is critical that the College have sufficient time to review budgets (especially for adequate administrative costs inclusion) well before the routing process begins. In the past, when the RSC was within the College, this one-stop shop meant those who planned and who would later implement grants were the same. As this is no longer the case, as well as with the increasing number of collaborative, cross-college and inter-institutional projects being submitted, much more time is needed to review project documentation. Two more points, of particular importance for those who were not in attendance at the last college-wide meeting, relate to running proposals through Research Centers and the benefits of including course buyouts (e.g., instead of or in addition to summer salary) in grants. Please read and think about these two points, and let me know what questions you have. Research Centers: I want to ask you to consider running your grants through an appropriate Center/Institute, whenever possible, so that an extra 7% of the F&A can be retained by the College, going to support administrative support in that Center. This is totally separate from the 20% of F&A that is distributed to PI (5%), Dept (7%) and College (8%). For instance, when a PI runs her project through the “Center for Comm. Based and Applied Health Research” (as one example), that Center would get 7% of F&A, which provides the PI and Center additional administrative support, effectively cost the PI nothing. There are 4 such Research Centers in our College (see last page of attached F&A policy) and we expect two more—the Urban Education Institute and ATE—designated as such in Spring 2019. Course buyout and salary savings: The Dean has decided to return to faculty some portion of salary savings from course buyouts that are included in grants. We are not sure yet the percentage (currently comparing other College’s policies to determine what fits with our College’s new approach to centralized grant administration), but imagine that if your course buyout was $12.5K and it cost $2.5K for an adjunct to cover your class, that would leave $10K on the table, and if 25% of that salary savings was returned to the PI each semester, you’d have generated an extra $5,000 for yourself to use (just like PI’s F&A funds), at your discretion. (Equally helpful, of course, is that the rest to the department and college to cover administrative supports like the statistical consultant we are hiring in the spring and the grants and contracts staff person I hope we can bring in to help us manage grants centrally from here on out.). So please think about including course buyouts in your grants, whenever you can. Please let me know your thoughts and share any questions you have regarding these changes, plans and policies. Dean's Office Changes

Greetings Colleagues, I want to update you on some organizational changes in the Dean's office. Based partially on our HR audit, I am happy to announce that Liliana Gutierrez, remaining in the role of Assistant Dean, will take on a different scope of responsibilities, working directly with me, the Associate Dean's, and others to connect strategic initiatives, develop and maintain information databases and coordinate and manage the number of KPI initiatives and projects that are ongoing, focusing on overall project management. This will help transition our operation for maximum efficiency and synergy. Laura Earleywine will take on an office manager role in the Dean's office, and Melissa Lichtenberg's duties will be expanded to include work on NTT contracts, etc. Some of the daily operational work that Liliana was responsible for will shift to Laura, Melissa, and Sara, and some of the work that they were responsible for, in time, can shift into the shared services model we have as our goal. As we work on distributing the new duties that all will have as of January 1, there will still be some re-assignment of work, depending on what makes the most sense. We plan to have a flow chart of who to go to for what in early February once we see how the initial changes are actually working in practice. We continue to work towards creating a shared service model at the college level, and this is one step towards that new organizational structure that draws on existing talent that our staff have and ensuring that talents are being utilized appropriately and that we build on the strengths that people have. While there can be frustration during the process, which I well understand, our continued work on this will lead to an organizational structure that is streamlined and efficient. Additionally, we are making some space-reassignments. The first is that Dr. Michael Karcher, Associate Dean for Research, and Liliana will be changing offices, so you can find Dr. Karcher in the Dean's office suite and Liliana where Dr. Karcher had been. The moves will be completed by mid-January.
